Position Title: Youth Orchestra Conductor

About:

The Youth Orchestra (YO) is an advanced, full symphonic orchestra of high school string, woodwind, brass and percussion players from across the Albuquerque area. Youth Orchestra students have the opportunity to advance their skills while performing a variety of traditional symphonic orchestral repertoire as well as works by contemporary composers.

Position Function Summary:

The Youth Orchestra Conductor is a part-time, seasonal position and reports to the AYSP Music Director. The position is responsible for direction and instruction of AYSP’s Youth Orchestra (YO). The Youth Orchestra Conductor maintains high performance quality of the ensemble through thoughtful artistic direction and education, modeling for students the attitude and presence of an exemplary musician. The Conductor also collaborates in developing artistic vision for AYSP and serves as a representative of the Program in the community.

Essential Duties and Responsibilities:

The following statements are intended to describe the general nature and level of work being performed.  They are not to be construed as an exhaustive list of all responsibilities, duties and skills required of personnel so classified.

  • Direct all weekly rehearsals (Mondays, 6:15 – 9:00 pm), dress rehearsals, concerts, and school tours for YO per season calendar provided prior to the beginning of the season.
  • Select music to be performed and prepare YO for scheduled concerts.
  • Be prepared to conduct one or more virtual learning sessions with students in lieu of in-person rehearsal time in the event required by a public health order or other circumstance preventing YO from rehearsing in person.
  • Coordinate the borrowing and/or purchase of music for each YO concert, obtaining prior approval for expenses and adhering to guidelines and deadlines set by Music Director. Responsible for preparing music bowings and fingerings (if applicable), copying of parts, and folder preparation prior to the first rehearsal of each new concert program.
  • Accept responsibility for securing (locking and arming) AYSP facility before and after rehearsals as well as weekly rehearsal set-up & tear-down.
  • Prepare and send weekly Rehearsal Notes to students.
  • Oversee attendance and facilitate probation letters.
  • Instruct and oversee your parent volunteer(s) during rehearsals.
  • Uphold and enforce student behavior policies as outlined in the AYSP Musician’s Handbook during all YO related activities including concerts and school tours.
  • Direct sectional instructors during sectionals.
  • Participate in annual recruiting efforts, actively recruiting students to audition for YO and AYSP programs.
  • Serve as an adjudicator for annual AYSP auditions as requested each spring in late April/early May.
  • In cooperation with the AYSP Music Director, serve as a spokesperson for AYSP and foster positive relationships with other music educators and community members on behalf of AYSP.
  • Attend artistic staff meetings as scheduled.

Necessary Skills:

  • Knowledge of a wide variety of orchestra repertoire
  • Demonstrated ability to communicate effectively with students, parents, audience, and critical community partners
  • Public speaking skills, able to energize an audience and motivate students

Qualifications:

Bachelor's degree in music education with proficient teaching and conducting experience; Master's degree in music preferred

I. POSITION FUNCTION SUMMARY

The AYSP Building and Operations Manager position is a part-time (25 hours/week, with additional pay for additional hours during anticipated peak times), non-exempt, salaried position that works closely with and reports to the Assistant Director. The position is principally responsible overseeing all matters related to the AYSP Building located at 4407 Menaul Blvd NE, including routine building maintenance, repairs, improvements, and contracted vendor visits, as well as facility rentals to third parties. The position is also responsible for set-up and clean-up for AYSP events that take place in the AYSP Building (recitals, concerts, receptions, some rehearsals, etc.). The position will be on site prior to ensemble rehearsals to greet students and monitor the building entrance until parent volunteers arrive and after elementary ensemble rehearsals to assist with student pick-up procedures. The position will also assist with various office tasks as needed.

II. ESSENTIAL DUTIES AND RESPONSLIBITIES

Facility Operations

  • Serve as main point of contact with regular monthly vendors (vending machines, water cooler, janitorial staff)
  • Contact and procure facility maintenance and repair service providers as needed and coordinate with AYSP administrative staff for staffing of service visits
  • Enlist and coordinate volunteers for various building project needs (painting, moving furniture, minor handyman jobs, etc.)
  • Regularly check parking lot, building dumpster area, and alley for trash, coordinate weed removal as needed
  • Schedule required annual inspections (fire alarm, extinguishers, etc.)
  • Update facility calendar as needed to keep staff apprised of scheduled work that will affect operations
  • Set-up and clean-up in connection with recitals, in-house concerts, receptions, etc.

Facility Rentals

  • Receive and respond to inquires about building rental, schedule and conduct building tours for prospective renters, and schedule rentals with input from administrative staff
  • Prepare and manage facility rental agreements, obtain certificates of liability insurance from renters, and coordinate invoicing for rental agreements with Assistant Director
  • Serve as primary AYSP contact for rentals
  • Update and maintain facility calendar with all rentals
  • Coordinate additional janitorial services for after rentals

Rehearsal Assistance

  • Assist with rehearsal room set-up and clean-up as needed
  • Print and set out student rosters on music stands outside rehearsal halls prior to rehearsals for attendance tracking
  • Assist with online student attendance tracking and follow-up
  • Assist Assistant Director with recruiting, training, and management of parent volunteers
  • Assist with elementary ensemble student pick-up following rehearsals

Other Duties (as needed)

  • Data entry and management
  • Assist with student fundraisers and special projects (e.g., Luminarias, Raffle)
  • Assist with music library filing and maintenance
  • Add ensemble rehearsal schedules to facility calendar and update as needed
  • Assist with concerts (front of house, back of house, coordination of parent volunteers, etc.)
  • Assist with fundraising activities
  • Assist with annual auditions

However, the employee cannot exceed 40 hours in any given week prior express authorization by the Assistant Director or Executive Director, and it is not anticipated that the position would be required to work in excess of 40 hours in any given week.

The AYSP Outreach Coordinator position is a part-time (15 hours/week, with additional pay for additional hours during anticipated peak times), non-exempt, salaried position that works closely with and reports to the Executive Director. The position is principally responsible for planning and executing AYSP’s various annual fundraising campaigns, including (without limitation) the fall luminaria sale, the spring “Experience New Mexico!” raffle ticket sale, the Virtual Playathon, the Giving Tuesday campaign, and/or the annual fund campaign (some of these campaigns may not happen every year). The position is also instrumental in planning and executing various marketing activities, as well as donor and alumni events throughout the year. The AYSP Outreach Coordinator will work directly with current students and their families on fundraising efforts, but will also be an excellent ambassador for AYSP in the community and among AYSP alumni, patrons, and current and potential corporate sponsors of AYSP programs and events.

  • Work with print broker to develop fundraising campaign contents and design ideas for bigger impact
  • Pull, cull, and coordinate with print broker all fundraiser mailing lists
  • Track family fundraising expectation performance ($100 per family)

Donor Development

  • Assist Executive Director with donor development and outreach
  • Identify, solicit, and develop corporate sponsorships
  • Find program ad sponsors for concert programs each semester
  • Assist Executive Director with coordinating and executing donor events
  • Find and coordinate volunteers needed for donor events, if necessary

Marketing

  • Assist Executive Director with social media presence and outreach
  • Assist Executive Director and outside advertising firm to develop marketing campaigns for fundraisers, auditions, concerts, etc.
  • Solicit, organize, and submit concert program ads and student Shout-Outs to print broker each semester

Alumni development

  • Assist Executive Director with alumni relations and developing alumni events
  • Assist with maintenance and updating of alumni records and database
  • Assist Executive Director and Assistant Director with planning and coordination of alumni reunions (every 5 years)

Concerts

  • Receive concert programs from print broker and deliver them to concert venues
  • Coordinate concert ticketing for all venues, including recruiting ticket sales and door check volunteers
  • Coordinate post-concert receptions (following Youth Symphony concerts) and volunteers for receptions
  • Participate in raffle drawing after Youth Symphony concert in the spring
  • Additional concert assistance as-needed
